The verbatim style of transcription you opt for depends upon your intended use for the completed transcript. With a full verbatim transcript, our transcriptionists will capture every detail on your audio file exactly in the way it appears in the audio and will include the following:

  • Pauses and filler words, e.g. “Um”, “Ah”, “Huh?”, “like”, “you know”
  • Non-verbal utterances, e.g. [coughs], [sighs], [laughs]
  • Colloquialisms or slang words, e.g. “ain’t”, “wanna”, “gonna”, “yeah”
  • Non-verbal sounds, e.g. [phone rings], [door slams]
  • False starts and stutters, e.g. I… I was once… once

Full verbatim transcription style is mostly used in legal/judicial matters, medical and qualitative research, psychological reports and often video transcripts. Full verbatim transcripts can be useful when for example, documenting an interview or testimony for legal purposes as the thought processes and emotions underlying the speaker’s words are often implied through conversational cues such as hesitancy, doubt or exaggeration.

With a clean verbatim transcript, false starts, slang words, filler words etc. are removed, grammatical errors fixed and sounds or utterances that do not contribute to the primary content are removed. For example, if you simply require a summary of information shared in a meeting with colleagues or employees, then a clean verbatim transcript would be sufficient for your intended audience to easily read and comprehend the key content within. A clean verbatim transcript may often be used as a marketing tool or online publication with no further editing required.

After we receive your audio or video file, it is checked by our staff and forwarded to the transcriber who is most suited in experience and skill to process your content.

Your audios and videos are manually transcribed using professional transcription software which our transcriptionists use to listen to the audio and type the text into Microsoft Word documents.

Once the preliminary transcript is complete, it undergoes a thorough review and proofreading process by our quality control team who will check and fix any errors that may exist.

You will be sent two different versions of your document via email, a separate .docx document which will contain the transcript itself and the link (url) to the website version where you can easily preview, share or download a .pdf version of your transcript.

Starting to use our service is pretty simple. Just follow these steps:

  • Prepare the audio/video files that you would like to have transcribed. We accept most popular file formats such as: .MPEG, .MP4, .SWF, .MOV, .AVS, .AIF, .AVI, .MP2, .MP3, .WMA, .M4A, .AIFF, AC3, .MOV, .WAV, YOUTUBE and any other similar formats.
  • If you are using our service for the first time, please use the form on the main page. If you are already a registered user, please proceed to log into our system.
  • Select or drag and drop the files that you want transcribed.
  • Our system will automatically calculate the duration of the files and you will be provided with an instant quotation for the service.
  • After all files are uploaded, please ensure you select the correct language for each file. We can transcribe files that are in multiple languages.
  • To complete your order, kindly effect payment via PayPal or credit card.
  • Once your payment is successfully completed, your order will be placed into our queue, where it will be processed within your chosen timeframe.
  • Once your order is complete, you will receive an email notification and will be able to download the transcripts from your account page.

Our business is open Monday through Friday, so all orders are processed in business days. If your audio/video is low quality, it might take little bit longer than expected. In this situation, we will contact you with an update of the expected time frame.

You can make an online payment via credit/debit card or bank transfer for large customer orders.

If you placed the order and your order status still shows as "Received," you can contact us by email at order@transcribefiles.net or via the contact form in your Account -> Support tab. Please don't forget to include the ORDER ID of the order you want to cancel.

If the file still has the "Waiting" status listed, you can contact us by email at order@transcribefiles.net or via the contact form in your Account -> Support tab. Please include the ORDER ID and the name of the file that you want to replace.

Keep in mind that if we have already started processing the file, we will not be able to replace it without an additional fee.

If you are not happy with our service, you can request a revision of your order within 10 days after the order was delivered.

To request a revision please log in to your account and click on Support -> Contact Form. In the contact form, please include your ORDER ID and your feedback and details about what happened and how we can improve your transcription.
